The Job:
Responsible for a wide range of administrative activities, and some property management tasks, you’ll be given comprehensive support and training by your experienced team around you who have implemented the best systems and procedures for you to follow. With that help in place, you’ll be providing departmental administrative assistance across the whole residential property portfolio as well as managing a modest and tidy portfolio yourself. Gartland have a team of 5 very busy Residential Property Managers that often have overflow administrative needs. This is where your support will be required, in addition to managing your own portfolio of around 90 properties, where you’ll oversee the day to day management and liaise with the property owner (or Residential Rental Provider (RRP)) and work to resolve any escalated issues while keeping them informed about their asset. You’ll perform tenancy signups, prepare condition reports, and conduct property inspections and negotiate renewals. Your duties will range from preparing and sending prospective renters offers, lease communications and lease documentation, to creating new rental profiles within the property management software (a system called PropertyTree), and assisting Property Mangers with general administration tasks. You’ll prepare and process rental agreement renewals and rent increases, assist with condition reports and routine inspections and also coordinate maintenance activities and trades when required.
Predominantly a Monday – Friday 9:00am – 5:00pm role, you will also work approximately 1 in every 10 Saturday mornings on a rotating roster, just to assist with leasing (houses that are open for inspections) across the residential portfolio (and can then take that additional time worked off in lieu).
Please note, we’re open to speaking with candidates either with proven property management experience, with some property management experience or at the very beginning of their career within property management, and we will tailor the role support to suit.

Skills Required:
A positive, proactive, reliable and focused individual, you’ll ideally already have an Agents Representative Certificate (or have a Certificate IV in Property Services, or be working towards this) and have experience providing administrative and customer service support within a professional environment. Adaptable, flexible, and able to use initiative, you’re a team player who learns quickly and can accept instructions easily and readily. Critical to your success, you’ll have exceptional time management and relationship building skills, and have a history of exceeding client or customer expectations. Well presented, and able to thrive in a fast paced, continually evolving environment with competing priorities, you’ll be dealing with a wide variety of people on a daily basis, and as such you’ll have excellent written and verbal communication skills. You’ll also have a genuine desire to succeed in the real estate industry, be organised, thorough, highly motivated and have a professional manner. You’ll also be adept in using the Microsoft Office suite, and any experience using property management software (such as REST, PropertyTree, Console, RP Office) would be highly regarded but isn’t essential.
