Due to a recent executive appointment, a rare and exciting opportunity now exists for a seasoned Executive Assistant/ Office Coordinator to complement the team and enhance the effectiveness of this new senior staff member.

About the Opportunity:
Based in Geelong, you will be providing a broad range of confidential administrative and executive support services, and will use your strong written communication skills to draft high level correspondence, assist in the development of proposals, presentations and materials and coordinate industry related projects. You’ll provide high level administrative support, coordinating diary appointments, inboxes, events, scheduling appointments and arranging travel and all written correspondence as required and in an organised and timely manner. Liaising with international and national stakeholders, you’ll also attend internal and external meetings, prepare minutes and agendas and undertake account reconciliations and expense reporting activities. Ensuring the office runs smoothly, you’ll greet and assist stakeholders as well as deliver outstanding administration support and practices for the senior management team and board to facilitate the delivery of business operations and to support the achievement of organisational objectives, including stationary supplies, assisting with events, and performing some light marketing functions.

About You:
Emotionally intelligent, intuitive, approachable and adaptable, you will have significant previous experience in a similar role providing administrative support, diary and resource management at an executive level. Able to deal with sensitive matters while maintaining confidentiality, you’re confident managing expectations, negotiating outcomes and timeframes to resolve issues, and are a skilled communicator. Able to draft, prepare, revise and proofread high level communications (such as board papers), you’ll also be a natural networker and able to build valuable internal relationships with departments and key stakeholders. Complemented by a high level of professionalism, integrity and discretion in handling confidential information and dealing with senior professionals both inside and outside of the organisation, you’ll have superior attention to detail, efficiency, strong organisational skills and be able to juggle competing priorities without getting overwhelmed. You’ll also have advanced knowledge and skills using the Microsoft Office suite of programs, with formal education or tertiary qualifications in Business, Commerce, Management, Public Relations, Business Administration or similar desirable, and experience dealing with boards and/ or government departments/ stakeholders highly regarded.
