The Job:
In this varied and fast paced full time role (we’re also open to candidates seeking part-time hours, provided they are available to work five days a week), you’ll deliver high quality personal assistance and comprehensive administrative support to the MD, and handle both daily ad hoc needs as well as the tasks required to complement the commercial sales activities of the MD. Supporting the MD both on day to day matters and longer term strategic projects, you’ll help maintain momentum and focus, optimising your time and focus on things that truly carry the biggest positive impact for both the MD and wider team. Organising all appointments, meetings and travel requirements, you’ll monitor, respond to and redirect general emails on behalf of the MD, and identify, anticipate and prepare information requirements for the MD regarding meetings, appointments and presentations, etc. You’ll also assist in diary management and help to prioritise workload and meetings, attending meetings as required, and you’ll provide agendas, minutes and other collateral and follow up with relevant reports and correspondence. You’ll liaise with Gartland staff and clients on behalf of the MD as required and organise team and end of year events, functions, client gifts and respond to invitations sent to the MD. Also providing wide ranging administrative support for the MD’s commercial sales activities, you’ll be responsible for all administrative tasks in relation to both sale and lease commercial property listings, including authorities, marketing forms, the set up and maintenance of online listings in the relevant database, and the organisation of photography and commercial property listings enquiries. You’ll also attend market appraisals and inspections at the discretion of the MD, attend to prospecting tasks as directed, including e-marketing, phone calls and general mail as required, and maintain the MD’s database of clients. You’ll also liaise with solicitors regarding the preparation of sale and lease documentation and follow up deposits, offer conditions and settlements on behalf of the MD.

Skills Required:
A consummate communicator, and a highly capable professional, you’ll have previous experience in a similar EA/ PA/ administration role and a proven track record of providing outstanding support to executive level management. Discreet, trustworthy and accustomed to setting direction, making decisions, and effectively juggling competing priorities, you’re a composed and calm lateral thinker who leads with initiative. Enjoying refining processes, you naturally seek out ways in which to work that align with best practice and are comfortable contributing ideas as to how things might be able to be done differently or better. As some of your responsibilities will include dealing with, and at times signing, commercial real estate documents, you’ll have obtained an Agent’s Representative certificate (or hold a Certificate IV in Property) and have sound business acumen. Having accomplished communication skills, you’ll also have strong interpersonal as well as proven written communication skills, and be able to assist with report drafting and grant writing. Professional and able to maintain the highest levels of confidentiality and deal with a wide range of stakeholders, you’ll have sound judgement and a positive demeanour. Able to effectively structure your own day, you’ll often undertake work with limited supervision, but will be able to prioritise your workload to meet changing demands. With the confidence, energy and resourcefulness to pick up and run with tasks that are truly wide and varied, you’re flexible, adaptable and can think on your feet. Technically, you’re a quick learner, you have strong experience with the O365 suite, and ideally have an understanding of suitable real estate software (such as VaultRE, Property Tree, Release, RP Office).
